2. What data we process

  • Contact details: name, e-mail address, phone number and the content of your message.
  • Vehicle data: registration number, VIN, model, mileage, diagnostic data and alerts, and the work carried out.
  • Order and billing data: work ordered, parts, invoices and payment information.
  • Claims handling data: for insurance claims, the accident report, insurance policy details, the driver’s licence details and a power of attorney.
  • Vehicle sales data: the data needed to purchase, register and lease a vehicle.
  • Website usage data: IP address, browser and device data, and data collected with cookies according to your cookie preferences.

3. Why and on what basis we process data

  • Answering enquiries and booking work – steps needed to enter into and perform a contract (GDPR Article 6(1)(b)).
  • Maintenance, repairs and diagnostics – performance of a contract (Article 6(1)(b)).
  • Handling claims with insurers – performance of a contract and acting on your authorisation (Article 6(1)(b)).
  • Accounting and keeping invoices – legal obligation (Article 6(1)(c)).
  • Website security and spam protection – our legitimate interest (Article 6(1)(f)).
  • Website analytics and marketing – your consent (Article 6(1)(a)), which you can withdraw at any time.

4. Who we share data with

We share data only to the extent needed to provide the service or to comply with the law:

  • insurers, when handling a claim;
  • leasing providers and the Estonian Transport Administration, when selling and registering electric cars;
  • parts suppliers, when vehicle data is needed to order the correct part;
  • our service providers, such as web hosting, e-mail and accounting providers, who process data on our instructions;
  • Google and Meta, when we use website analytics, security and marketing tools (see section 6);
  • public authorities, where we are legally required to do so.

Where data is transferred outside the European Economic Area (for example with Google and Meta services), this is based on a European Commission adequacy decision, including the EU–US Data Privacy Framework, or on standard contractual clauses.

5. How long we keep data

We keep personal data for as long as needed for the purpose or as required by law. Accounting source documents, such as invoices, are kept for seven years under the Estonian Accounting Act. We keep a vehicle’s service and repair history so that we can serve you better in future and answer questions about work done. Enquiries that do not lead to an order are kept only as long as needed for the communication. When the retention period ends, the data is deleted or anonymised.

6. Cookies and third-party tools

The website uses cookies. Strictly necessary cookies keep the site working. We use analytics and marketing cookies only with your consent, which you give or refuse in the cookie banner. You can change your choice at any time through the cookie settings at the bottom of the page.

  • Google Analytics – website visitor statistics.
  • Meta Pixel – measuring and targeting adverts on Facebook and Instagram.
  • Google reCAPTCHA – protecting the enquiry form from spam.
  • Instagram feed – showing our Instagram posts on the website, which loads images from Meta’s servers.

7. Your rights

You have the right to:

  • access your personal data and receive a copy;
  • have inaccurate data corrected;
  • have data erased where there is no basis for processing it;
  • have processing restricted;
  • object to processing based on legitimate interest;
  • receive the data you provided in a machine-readable format (data portability);
  • withdraw your consent at any time, without affecting the lawfulness of earlier processing.

To exercise your rights, write to info@servicemode.ee. We reply within one month at the latest. If you believe we are infringing your rights, you can contact the Estonian Data Protection Inspectorate (Tatari 39, 10134 Tallinn, info@aki.ee, www.aki.ee).
